This Refund Policy outlines the terms and conditions for refunds on services provided by Best Faces Models. We are committed to fair dealing and providing quality services to our clients and models. This policy is designed to clarify the circumstances under which refunds may be issued and the procedures for requesting a refund.
2. Services Covered
This Refund Policy applies to the following services provided by Best Faces Models:
- Model booking fees
- Portfolio development services
- Event staffing services
- Agency representation fees
- Other professional services offered by Best Faces Models
3. Client Refund Policy
3.1 Booking Deposits
To secure model bookings, clients are typically required to pay a non-refundable deposit. This deposit serves as a commitment to the booking and compensates for the administrative work involved in arranging the booking and reserving the model's time. However, refunds for deposits may be considered under the following circumstances:
- If Best Faces Models fails to provide the agreed-upon model or a suitable replacement
- If the booking is canceled by Best Faces Models for reasons other than force majeure
- If there is a material misrepresentation of the model's attributes, qualifications, or capabilities
3.2 Full Payment Refunds
For clients who have paid in full for services, refunds may be processed according to the following guidelines:
- Model No-Show: If a model fails to appear for a confirmed booking without valid reason and Best Faces Models cannot provide a suitable replacement, a full refund will be issued.
- Unsatisfactory Performance: If a model's performance falls substantially below professional standards and the client notifies Best Faces Models during or immediately after the assignment, a partial or full refund may be considered based on the circumstances.
- Service Not as Described: If the services provided differ substantially from what was agreed upon, a partial or full refund may be issued at Best Faces Models's discretion.
3.3 Cancellation-Related Refunds
Refunds related to cancellations are processed according to the following schedule:
- Cancellations more than 7 days before the assignment: 50% refund of the full payment (deposit is non-refundable)
- Cancellations 3-7 days before the assignment: 25% refund of the full payment (deposit is non-refundable)
- Cancellations less than 3 days before the assignment: No refund
Exceptions to this schedule may be made in cases of documented emergency or force majeure at the discretion of Best Faces Models management.
4. Model Refund Policy
4.1 Portfolio Development Services
For models who have paid for portfolio development services:
- Cancellation before photography session: 50% refund if canceled more than 7 days before; no refund if canceled within 7 days
- Dissatisfaction with final images: If the quality of the images falls below professional standards, we will offer a complimentary reshoot. No monetary refunds will be provided after the photography session is completed.
- Agency-initiated cancellation: Full refund if Best Faces Models cancels the photography session for any reason other than model non-compliance with preparation guidelines
4.2 Agency Registration Fees
If Best Faces Models charges registration or representation fees to models:
- Refunds may be provided within 14 days of payment if the model decides not to proceed with representation
- No refunds will be provided after 14 days or after the agency has begun actively representing the model
- Partial refunds may be considered in case of significant changes to the representation agreement initiated by Best Faces Models
5. Refund Process
5.1 Requesting a Refund
To request a refund, clients or models must:
- Submit a written refund request to [email protected] within 7 days of the service date or cancellation
- Include relevant details: booking reference number, date of service, description of the issue, and the refund amount requested
- Provide any supporting documentation that may be relevant to the refund request
5.2 Refund Review Process
Upon receiving a refund request, Best Faces Models will:
- Acknowledge receipt of the request within 2 business days
- Review the request and any supporting documentation
- Conduct an internal investigation if necessary
- Provide a decision regarding the refund request within 10 business days
5.3 Refund Payment Method
Approved refunds will be processed as follows:
- Refunds will be issued using the original payment method when possible
- If the original payment method is unavailable, an alternative method may be arranged
- Processing time for refunds is typically 5-10 business days, depending on the payment method and financial institutions involved
5.4 Partial Refunds
In some cases, Best Faces Models may determine that a partial refund is appropriate based on:
- The proportion of services successfully delivered
- Administrative costs already incurred
- The nature and severity of the service issue
- Other relevant factors specific to the situation
6. Non-Refundable Items
The following items or circumstances are generally non-refundable:
- Services already performed to satisfaction
- Deposits on bookings canceled by the client within 3 days of the scheduled date
- Services not utilized due to client or model no-show without proper notification
- Additional services requested on-site beyond the original agreement
- Situations where the client or model has violated the terms of service
7. Force Majeure
Neither Best Faces Models nor the client/model shall be liable for failure to perform their obligations if such failure is as a result of Acts of God (including fire, flood, earthquake, storm, hurricane, or other natural disaster), war, invasion, act of foreign enemies, hostilities (regardless of whether war is declared), civil war, rebellion, revolution, insurrection, military or usurped power or confiscation, terrorist activities, nationalization, government sanction, blockage, embargo, labor dispute, strike, lockout, or interruption or failure of electricity or telephone service.
In cases of force majeure affecting a booking:
- Both parties will attempt to reschedule the services to a mutually agreeable date
- If rescheduling is not possible, a partial refund may be issued after deducting costs already incurred
- The handling of deposits in force majeure situations will be determined on a case-by-case basis
8. Dispute Resolution
If a client or model disagrees with a refund decision:
- They may submit an appeal in writing to [email protected] within 5 business days of receiving the decision
- The appeal should include any additional information or documentation not previously provided
- A senior manager will review the appeal and provide a final decision within 10 business days
- If the dispute cannot be resolved through this process, it will be subject to the dispute resolution procedures outlined in our Terms and Conditions
9. Policy Modifications
Best Faces Models reserves the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. It is the responsibility of clients and models to review this policy periodically for changes.
